Booking & Pricing

How far in advance should I book?
For airport transfers and standard journeys, we recommend booking at least 24 hours in advance. For weddings, sporting events and Royal Ascot week, three to six months is typical. That said, our concierge can dispatch a chauffeur within 30 minutes when availability allows.
How are your prices calculated?
For point-to-point journeys, we use a fixed-fare model based on postcode and vehicle class. For hourly hire, we charge a flat hourly rate (minimum two hours) with no mileage surcharges. All prices include VAT, fuel, parking and tolls. There are no hidden fees.
What payment methods do you accept?
We accept all major credit and debit cards (Visa, Mastercard, American Express), bank transfer, and Apple/Google Pay. Corporate clients may apply for 30-day account terms with monthly invoicing.
What is your cancellation policy?
Cancellations made more than 24 hours before pickup are refunded in full. Within 24 hours, a 50% charge applies. Within 4 hours of pickup, the full fare is charged. Weddings and event bookings have separate terms outlined in the contract.

Drivers & Fleet

Are your chauffeurs employees or freelancers?
Every VIPwheels chauffeur is a salaried employee · never a freelance contractor. They receive paid holiday, pension, uniforms, and ongoing training. Our average driver tenure is twelve years.
Are drivers DBS checked?
Yes. Every chauffeur holds an enhanced DBS check and TfL Private Hire licence. VIP and corporate drivers can hold security clearance up to SC level on request.
How old are the cars in your fleet?
No vehicle in our fleet is more than three years old. Cars are professionally detailed before every journey and undergo full mechanical inspection every 5,000 miles.
Do you offer electric chauffeur cars?
Yes. 65% of our fleet is now fully electric or plug-in hybrid, including BMW i7, Mercedes EQS, and Range Rover PHEV. Specify "electric vehicle preference" at booking.

Service & Experience

What is included in an airport transfer?
Complimentary 60 minutes of waiting at airports (15 minutes elsewhere), live flight tracking, meet & greet at arrivals with a name board, luggage assistance, bottled water, current-day newspapers, and free Wi-Fi in the vehicle.
Can I request the same chauffeur for repeat journeys?
Yes. Many of our regular clients have a preferred driver. We will allocate them subject to availability, and corporate accounts can have a named primary chauffeur.
Do you operate outside London?
Yes · across the UK. We have driver hubs in Manchester, Birmingham, Edinburgh and Bristol, and undertake long-distance UK journeys daily. International services are available via partner houses in Paris, Geneva, Dubai and New York.
Will my driver speak to me during the journey?
Only if you wish. Our chauffeurs follow what is known in the trade as "the spoken-when-spoken-to" rule. They are however happy to discuss London, history, the weather, or anything else you raise.

Do you offer corporate accounts?
Yes. Corporate accounts include 30-day invoice terms, a dedicated account manager, single-monthly billing across all journeys, custom reporting, and bulk-rate negotiations from £20,000+ annual spend.
Do you sign NDAs?
As standard for all VIP and celebrity clients. We can also sign your company's NDA and apply it to all assigned drivers within 24 hours.
How do I open a corporate account?
Email info@thevipwheels.com with your company name and an estimate of monthly volume. Our account team will respond within 4 working hours.
